Spring Track & Field - Volunteers Roles & Responsibilities

Please see the duties listed below and sign-up here for a specific role on a selected meet date.  We must fill these positions for each meet in order to have a successful event. 

All volunteers are asked to do the following: 

  • Attend the coaches and volunteers meeting before the meet (7:45 AM). 
  • Help athletes understand the meet processes and rules. 
  • Any other tasks or duties necessary to ensure a safe and efficient competition environment for all athletes. 
  • Perform the role they are assigned for the duration of the meet. (For critical roles - starter and clerk - there will be two or more people assigned so volunteers can take breaks.) 
Team Representative: 

Who: Coach or parent volunteer. 

What: Team representatives will be near the clerking area for the duration of the meet and is responsible for ensuring their athletes are following the clerk’s directions, are listening, and are where they are supposed to be. This could include:

  • Answering athletes’ questions. 
  • Finding missing athletes (if they miss their heat call). 
  • Verifying their athletes have bibs. 
  • Double checking their athletes are in the correct heat. 
  • Helping the clerk place athletes in heats. 
  • Helping the clerk line athletes up near the start line. 
Starter:

Who: Coach or experienced parent volunteer. 

What: The starters are responsible for setting the pace of the individual races. Together with the timer, they start individual events quickly and efficiently using a starting pistol. When the timer gives the queue (through a headset), the timer will use a three-command start to begin each race: on your mark, get set, *gun*. 

 

Starter Helper:

Who: Parent volunteer. 

What: Starter helpers will assist the starter and clerks in moving athletes from the waiting area by the start time to the track. They will help ensure athletes are in the correct lanes and stay in order while waiting for their race.

Finish Line Helper:

Who: Parent volunteer. 

What: Finish line helpers will ensure athletes exit the track quickly and safely, ensuring they do not cross back over the finish line.

Clerk:

Who: Coach or experienced parent volunteer. 

What: The clerks are responsible for organizing athletes into heats (racing groups) based on the heat sheets. Clerks will look at a group on the heat sheet, and, using the help of team representatives and others, gather that group together and send them to wait by the start line. One clerk will take odd-numbered heats, another will take even-numbered heats. Clerks will begin organizing and moving groups as soon as athletes are in the clerking area. The meet director will assist in the clerking area. 

  • 100m/200m: Athletes need to stay in the order of their lane assignment.
  • Clerks must attend the clerks’ meeting at 8:05 (after the first heat of the mile). 
Clerk Helper:

Who: Parent volunteer. 

What: The clerk helpers are responsible for assisting the clerks in corralling athletes and helping athletes stay in order of their lane assignment, if applicable.
